The EU database registration is publicly accessible; errors are visible to authorities, deployers, affected persons, competitors, and the media. A structured internal review process ensures accuracy before submission.
The review follows four steps: the Conformity Assessment Coordinator prepares the registration data by extracting fields from the AISDP; the Technical SME reviews technical content (system description, data collection, intended purpose) for accuracy and AISDP consistency; Legal counsel reviews legal content (provider identification, authorised representative, non-high-risk justification) for accuracy; and the AI Governance Lead approves submission. A mapping table traces each registration field to its AISDP source, enabling rapid consistency verification whenever either is updated.
Post-submission, the Conformity Assessment Coordinator verifies the published entry within one week, checking for display formatting, character encoding, and field truncation discrepancies. Errors are corrected immediately.
